@Paul: If you enable a Domino policies for archiving you can prohibit private archiving which resolves the problem of the menu options being available to the end user. Also you can use Archive Criteria Settings from within the Archive settings document to create archives for docs that are over 12 months, 6 months ect.

@3 I think Ninke you have to put yourself in the position of a PA & Manager, both accessing the same DB both wondering who has dwelt with what email. Moving something that has been dwelt with to a folder is the only option at the moment which is cool but if I am the manager I now have to look in two places to see the activity of my emails. Perhaps an alternative is to show that the email has been read by someone else by either an icon or making it italics so you have plain for read, bold for unread, italics for someone else has read.

@2, Corey I do end user training and PA's that come from an Outlook background really struggle with the double handling that is due to them reading an email, then as their boss can't see that they have read the email, the boss then reads it & it goes on. IMAP doesn't marks a document read no matter who has read it. So in shared mail boxes for departments and for PA's this feature would be handy.

@Bill - not sure what is intuitive in having to know the syntax, know the exact name of the ini variable you want to set, not make any spelling mistakes and not be able to set one variable for more than one server! I agree the server console is easy but I teach people new to Domino, they want to remember 1 place & they typically prefer to pick from a list which gives an explanation. I can see your an experienced admin person, think back to the days when you were new.

Maybe the best practise tool in 8.5 could help with ini settings.

Real Time or Update Button for DiskSpace Indicators (24 Apr 2008)

It would be great to improve diskspace indicators full stop, i.e. see what is taking up the space such as mail files, templates, .fti's. To also be able to see diskspace indicators for all servers at once would be fantastic. I know in the performance area you can do graphs but to put all servers/drives into 1 graph is very busy. One issue I find with some clients is disk space. We need some nice graph like in mail reports that we can show recommended disk space & current disk space so that when the domino server keeps crashing we can say to management, we showed you why now pls give us disk space.

Are you suggesting that a server-side policy replace server configuration documents? I believe something has to be done with configuration documents as they can potentially override each other & the "Most specific to a server wins" can be very vague in a domino environment where there are lots of config docs. I like the idea of a visible hierarchy for server-side policies so that if I want to work out my mail settings for a domain I look into one place. Not sure though that I hijacked your idea for my frustration with configuration documents.

Meetings of more than 24hours (03 Apr 2008)

Be aware that you can't have a duration of over 24hours with appointments either. This makes it difficult when your adding in flights times etc. Tyically I make appointments, meetings repeating and then adjust each entry for each day. Cumbersome, would be great if it was changed.

Remove the Open option for attachments (03 Apr 2008)

@1 - The Edit option is fantastic, hence I am saying only give the that option because you can edit something and then just close it, you are not forced to edit it. For example I am currently training 6 end users who have been using Lotus Notes from between 1 week to 1 month. The have only used the Open button and done the Save As option. Once I explained the difference between edit and open they were happy and got it. The problem, it had to be explained! You can open an attachment with the Edit option just as easlily as you do with the Open option. I think the re-coding would be worth it.

@2 & 3 - like that idea, I think the viewer is way under utilised.

good for the toolbar icon to look and have the same functionality as the MS Word icon and don't change the cursor to look like a pen. Also allow me to select text to make it bold or whatever, at the moment I have to turn off the highlighter to select text.

Print attachments without launch or view (25 Mar 2008)

So many times we have added this functionality into mail templates for customers and it is one of the most asked for features when I am doing end user training. @1 the dialog box is clumsy but we are not yet in a paperless age and people still need to print. I would like to see Preview (instead of View), Edit (no Open), Print, Save & Delete , Save & Link (where link leaves a url link to the location where the attachment was saved, and yes if they move the attachment the link is broken but it is better than no link.)

I love the Scheduler but it is true that not many users use it and appreciate it. I almost think they want to live in denial and just believe that because they have invited them, of course they will all be available. I agree a pop should say something like, "not everyone including rooms and resources you invited show as being available, do you want to view the Scheduler, Yes or No".

Context menu: Mark as read/unread (25 Mar 2008)

tell me how many users know about the Insert shortcut, not many. If every I am talking to any user I tell them Ctrl M to create a memo and the Insert key, they then think you're a hero. Just checked 8.0.1 mail template, still no short cut menu option to mark unread/read.

Group expiration (25 Mar 2008)

I am so glad someone else has made this suggestion. Groups are a nightmare in nearly every organisation I go to. We desperately need an expiration date and some sort of workflow to notify owner to extend expiration date and if not extended then it is no longer visible and the Administrators are notified. A DDM probe for Groups would be awesome. I know some companies that have separated their groups into another directory in an attempt to manage them.

Change file location where Notes opens attachments (25 Mar 2008)

Users don't know the difference between Open and Edit, @1 Launch is Notes version 5 and there wasn't an Edit option, they then changed Launch to Open and added Edit in v6 onwards. Open needs to either be removed or changed to Read Only, I prefer the remove option, but the location it saves it an issue I agree.

Usability improvements to 'Permanent Pen' (25 Mar 2008)

The permanent pen is so valuable, any improvement would be great, especially making it more obvious, I mean what does permanent pen mean when what you're really doing is adding your comments and making them stand out. So how about call it Add Comments or similar. I know so many people who highlight their text, make it bold and change the colour!!

Great idea, the view option is invaluable especially for the junk ppt chain emails. It is also great for zipped files as it allows you to preview them.

Awesome idea, add an automated email to the NotesAdmin group to actually put updated dates in the holidays would make it even better. Most administrators I come across (I am an instructor) don't even know this feature exists which is such a shame as end users love it.

Option to set a default workspace page to open (25 Mar 2008)

I think administrators, developers and support people find the workspace invaluable and probably would never give it up. My belief why the workspace shouldn't be used for all users is that it is stored in the desktop6.ndk file. With the introduction of roaming there was a push to put client desktop settings ie bookmarks choices into a notes db which is the bookmarks.nsf as this replicates which is the foundational requirement for roaming. The desktop6.ndk file does not replicate and is cumbersome to manage.

I have been training end users in Lotus Notes for 11 years, I have heard many, many complaints but never one about the splash screen.

we get requested by end users as well as IT departments if we can add the company logo as a letterhead option and many times we will go to Notes customers and they have already done it and boy is it ugly (typically). So I say allow them to add their company logo for internal mail but put controls around it so it stops the ugly factor.

Group topology (20 Feb 2008)

Regarding the first comment, the Group Manage tool in the domino administrator and viewing by Member Hierarchy is a better option than the Find group tool which I think is lame. I believe groups need a major make-over, but I will post that seperately!
